Call routing (also called call distribution or intelligent routing) is the process of directing incoming phone calls to the appropriate destination — whether that is a specific employee, department, voicemail box, or external number. Basic call routing uses simple rules: route calls to extension 101 between 9-5, send to voicemail after hours. Advanced call routing uses criteria like caller ID, time of day, caller history, geographic location, and even AI analysis of the caller's spoken request to determine the optimal destination. In modern AI receptionist systems, call routing becomes intelligent: the AI listens to what the caller needs, determines the right person to handle the request, and transfers the call seamlessly. This eliminates the frustrating "press 1 for sales" menus and gets callers to the right person faster. Common routing strategies include skills-based routing (matching caller needs to agent expertise), round-robin (distributing calls equally), and priority routing (VIP callers get faster service).
