What is Warm Transfer?

Quick Definition

A warm transfer is when the receptionist speaks to the receiving party before connecting the caller, providing context about who is calling and what they need.

Warm Transfer explained

A warm transfer (also called an attended transfer) is a call transfer method where the person handling the call first speaks with the recipient to provide context before connecting the caller. For example: a receptionist answers a call from a potential client asking about kitchen remodeling, then calls the contractor and says 'I have John on the line — he needs a quote for a kitchen remodel in downtown' before connecting the two parties. This contrasts with a cold transfer (blind transfer) where the caller is simply redirected without any context. Warm transfers provide a significantly better caller experience because the recipient is prepared, the caller does not have to repeat themselves, and the interaction feels seamless and professional. In live answering services, warm transfers are a standard feature. In AI receptionist systems, warm transfers are more complex to implement because they require the AI to call the recipient and convey information before connecting. Some AI receptionists use a hybrid approach: sending the recipient an SMS or notification with caller context before connecting the call.
